Position Overview: The Office Manager will play a key role in overseeing the day-to-day operations of our firm. The ideal candidate is detail-oriented, highly organized, and able to juggle multiple priorities in a fast-paced environment. You will be responsible for ensuring the office runs seamlessly while providing support to our CPA team and offering exceptional service to our high-profile clientele.
Key Responsibilities:
- Oversee general office operations, including managing administrative staff, coordinating schedules, and maintaining a productive office environment.
- Serve as the primary point of contact for clients, ensuring a professional and welcoming experience.
- Manage office supplies, technology, and facility needs.
- Assist with client onboarding and document management, including ensuring compliance with industry regulations.
- Support the firm’s CPAs with administrative tasks such as scheduling, travel arrangements, and preparation of financial documents.
- Coordinate meetings, events, and conferences for both internal and client-related activities.
- Assist in managing firm finances, including vendor payments, expense reports, and budgeting.
- Implement and optimize office policies and procedures to improve efficiency.
- Maintain confidentiality of all client and firm information in accordance with professional standards.
Qualifications:
- Proven experience as an Office Manager or similar administrative role, ideally within a professional services firm (CPA firm experience preferred).
- Strong organizational and multitasking abilities.
- Excellent interpersonal and communication skills, with the ability to build rapport with high net worth clients and business owners.
- Proficiency in office software, including MS Office Suite (Excel, Word, Outlook).
- Familiarity with accounting software and CRM systems is a plus.
- High level of discretion and professionalism in handling sensitive information.
- Ability to work independently and solve problems efficiently.
